Terms and Conditions
Last updated: 4 October 2026
These terms apply when a hotel registers for HotelOps AI and when its staff use it. HotelOps AI is operated by [legal name of the operating company], [registered address] ("we", "us"). By registering a hotel, accepting an invitation or signing in, you agree to these terms. If you register on behalf of a hotel, you confirm that you are authorised to accept them for that hotel.
1. The service
HotelOps AI reads a hotel's night-audit reports, checks them, and produces a dashboard, a daily sales report, workbooks and answers from an AI assistant. We may improve or change features over time. If we remove a feature a hotel relies on, we will give reasonable notice.
2. Registration and approval
- A hotel must register with a work email address on the hotel's or its brand's own domain. Personal email addresses are not accepted.
- We review each registration and may approve or decline it at our discretion.
- The details you give must be accurate, and you must keep them up to date.
3. Accounts and access
- Each person needs their own account. Don't share passwords.
- The hotel's admins decide who has access, and are responsible for switching off access when someone leaves.
- Tell us straight away if you think an account has been misused.
4. The hotel's data
- The hotel owns the data it puts into HotelOps AI and the reports produced from it. It gives us permission to process that data only to provide the service.
- The hotel confirms that it is allowed to share these reports with us, including under any agreements with its owner, management company or brand.
- Don't upload reports containing individual guests' personal data, or anything you don't have the right to share.
- Our Privacy Policy explains how we handle data.
5. Checking the figures
HotelOps AI checks totals across reports and stops when something doesn't reconcile, but it depends on the accuracy of the source reports, the mappings and any figures typed in by hand. The AI assistant can make mistakes. Treat its answers as a starting point and check them against the reports. The hotel remains responsible for reviewing reports before they are relied on or sent to owners, brands, auditors or authorities. HotelOps AI is not a substitute for professional accounting, audit or tax advice.
6. Acceptable use
Don't try to access another hotel's data, probe or overload the service, get around its security or limits, reverse-engineer it, or use it for anything unlawful.
7. Fees
Any fees, billing terms and trial periods are set out in a separate order or agreement with the hotel. Until a hotel has agreed to fees in writing, use of the service is free of charge.
8. Availability
We aim to keep HotelOps AI available and to back up hotel data, but we don't guarantee uninterrupted service. The hotel should keep its own copies of the source reports and downloaded workbooks.
9. Suspension and ending
A hotel can stop using the service at any time by contacting us. We may suspend or close an account that breaches these terms or puts the service or other hotels at risk. Where possible, we will warn the hotel first. After closure, the hotel can ask for an export of its data within [30] days, after which it is deleted as described in the Privacy Policy.
10. Liability
The service is provided "as is". To the extent the law allows, we are not liable for indirect or consequential loss, such as lost profits or decisions made on the basis of reports, and our total liability to a hotel is limited to [the fees it paid in the 12 months before the claim, or INR __ if no fees were paid]. Nothing in these terms limits liability that cannot be limited by law.
11. Changes to these terms
We may update these terms. For significant changes, we will tell hotel admins by email at least [14] days before they take effect. Continuing to use the service after that means accepting the new terms.
12. Governing law
These terms are governed by the laws of India, and the courts at [Hyderabad, Telangana] have exclusive jurisdiction.
